Your privacy: data use, security, and controls

Screentico ("Screentico", "we", "us", "our") provides a web-based application that helps organizations analyze and organize candidate documents and hiring data (the "Service").

This Privacy Policy explains how we collect, use, disclose, and protect personal information when you access or use the Service, our website, and related communications (collectively, the "Services").

1) Who we are

If you are using Screentico on behalf of a company (an "Organization"), your Organization may be the data controller for candidate data you upload, and Screentico may act as a processor for that data.

2) Information we collect

We collect information in three main ways: (a) information you provide, (b) information collected automatically, and (c) information from third parties.

A) Information you provide

Account and profile information

  • Name, email address, password or authentication token, organization name, role/title.
  • User preferences and settings.

Customer content you upload or submit

  • Documents and text you upload for analysis, such as resumes/CVs, cover letters, candidate notes, and job descriptions ("Customer Content").
  • Candidate-related information included in those documents may contain personal information such as contact details, work history, education, and other details.

Billing and purchases

  • Billing name, billing address, tax/VAT info (if applicable), subscription plan selection, and payment status.
  • Payment card details are typically processed by our payment provider and are not stored by us as raw card numbers.

Support and communications

  • Messages you send to support, feedback, bug reports, or survey responses.

B) Information collected automatically

We do not use third-party advertising pixels or behavioral analytics to track you across websites.

Like most online services, our hosting, authentication, and security infrastructure may process limited technical data that is necessary to operate and protect the Services (for example, basic request metadata and security logs). We use this information only for reliability, security, and abuse prevention.

Where cookies or similar technologies are used, they are used only for essential functionality such as session management, authentication, and security.

C) Information from third parties

  • Identity/authentication providers (for example, SSO) may provide a verified email and basic profile details.
  • Payment providers may provide subscription status, invoice details, and limited billing metadata.
  • If you integrate third-party services, we may receive data via those integrations as authorized by you.

3) How we use information

We use personal information to:

  • Provide and operate the Services (account creation, authentication, core features).
  • Process Customer Content to deliver requested analysis and outputs.
  • Maintain security (fraud prevention, abuse detection, access control, auditing).
  • Provide support and respond to requests.
  • Bill and manage subscriptions and enforce plan limits.
  • Improve and develop the Services (debugging, performance, feature development).
  • Comply with legal obligations and protect rights, safety, and property.

5) How we share information

We do not sell personal information.

Service providers (subprocessors)

We may share information with providers that help us run the Service (hosting, authentication, payments, email delivery, monitoring). These providers may process personal information only under our instructions and for the purposes described in this Policy.

Your Organization

If you use Screentico under an Organization account, your Organization administrators may access account data, usage info, and Customer Content as permitted by your Organization settings.

Legal and safety

We may disclose information if required by law, subpoena, or other legal process, or if we believe disclosure is necessary to protect rights, safety, and security.

Business transfers

If we undergo a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction.

6) AI processing

Screentico may use automated processing (including AI models) to analyze Customer Content and generate outputs.

  • Inputs/outputs: Customer Content and generated analysis may be processed to produce the Service results.
  • No guarantee: AI outputs may be inaccurate or incomplete; you should not rely on them as the sole basis for employment decisions.
  • Customer controls: Where available, you can control what content you submit and how long it is retained (see Retention).
  • We do not use Customer Content to train public AI models.

7) Data retention

We retain personal information only as long as necessary for the purposes described:

  • Account data: retained while your account is active; deleted or anonymized within 30 days after account closure, unless required for legal reasons.
  • Customer Content: retained according to your Organization settings and plan; you may delete content at any time (where supported).
  • Billing records: retained as required by accounting/tax laws.
  • Logs: retained for security and debugging for 30 days.

8) Security

We use reasonable administrative, technical, and organizational measures designed to protect personal information (access controls, encryption in transit, monitoring, and least-privilege practices). However, no system is 100% secure.

9) International data transfers

Your information may be processed in countries other than where you live, including the United States and other regions where our providers operate. Where required, we use appropriate safeguards for cross-border transfers (such as standard contractual clauses or equivalent mechanisms).

10) Your rights and choices

Depending on where you live, you may have rights such as access, correction, deletion, objection/restriction to processing, data portability, and withdrawal of consent (where processing is based on consent).

If you are a candidate whose data was uploaded by an Organization, your request may need to be handled by that Organization (the controller).

11) Cookies

We use cookies and similar technologies:

  • Essential cookies: required for login, security, and core site functionality.
  • Optional analytics cookies are not being used.

You can control cookies through browser settings and, where provided, our cookie preferences tool.

12) Children

The Service is not intended for children under 16 (or the minimum age required by local law). We do not knowingly collect personal information from children.

13) Third-party links

The Services may contain links to third-party websites/services. We are not responsible for their privacy practices.

14) Changes to this Privacy Policy

We may update this Privacy Policy from time to time. If changes are material, we will provide notice (for example, via the Service or email). The "Last updated" date reflects the latest version.

Regional Disclosures

EEA/UK (GDPR) disclosures

If you are located in the European Economic Area (EEA) or the United Kingdom, you may have additional rights under applicable data protection laws, including the right to access, correct, delete, restrict or object to our processing, and the right to data portability.

If you believe we have processed your personal information unlawfully, you also have the right to lodge a complaint with your local supervisory authority.

Where we process personal information on behalf of an Organization (for example, candidate documents uploaded by an Organization), that Organization is typically the controller and Screentico acts as a processor. In those cases, you should direct requests relating to Customer Content to the Organization.

Where required for international transfers, we rely on appropriate safeguards (such as standard contractual clauses) or other lawful mechanisms.

United States (including California) disclosures

Depending on your state of residence, you may have rights to request access to, correction of, or deletion of personal information we maintain about you, and to appeal decisions in certain cases. To exercise applicable rights, contact us at privacy@sharplogica.com.

Categories of personal information we collect

  • Identifiers (such as name, email address), for the purpose of authenticating you to the application.
  • Internet or other electronic network activity information (usage and device data).
  • Commercial information (subscription status, invoices, plan selections).
  • Professional or employment-related information (candidate data contained in Customer Content).

Purposes for collection and use

  • Provide, operate, secure, and improve the Services.
  • Process transactions and manage subscriptions.
  • Customer support and communications.
  • Fraud prevention and security monitoring.

Categories of third parties we disclose to

  • Service providers (hosting, authentication, payments, email delivery, monitoring).
  • Professional advisors (as needed for legal, accounting, or compliance).
  • Law enforcement or regulators (when required by law).

"Sale" / "Sharing" notice (California): We do not sell personal information. We also do not share personal information for cross-context behavioral advertising.

If you are a candidate whose information was provided to Screentico by an Organization, we process that information on behalf of the Organization. Requests about candidate data may need to be directed to the Organization.
