Your GDPR rights and how Screentico processes data

This page provides transparency information for users in the European Economic Area (EEA), the United Kingdom, and Switzerland about how Screentico processes personal data under the General Data Protection Regulation (GDPR) and similar laws. It complements (and does not replace) our Privacy Policy.

1) Roles: controller vs processor

Depending on how you use Screentico, we may act as either:

  • Controller for account, billing, and customer support information related to your use of the Services.
  • Processor for candidate documents and related hiring data uploaded by an Organization (Customer Content). In this case, the Organization is typically the controller.

If you are a candidate whose data was uploaded by an Organization, please contact the Organization to exercise rights related to that data.

2) Categories of personal data

A) Account and service data (controller)

  • Account identifiers such as name and email address.
  • Organization name and role (if applicable).
  • Subscription and billing status (payment details are typically handled by the payment provider).
  • Support communications you send to us.

B) Customer Content (processor, typically)

  • Candidate documents and text you upload (for example, CVs/resumes, cover letters, job descriptions, and notes).
  • Personal data contained in those documents (for example, contact details, work history, and education).

C) Technical and security data

Screentico does not use advertising pixels or cross-site tracking. Limited technical data may be processed by infrastructure providers to operate and secure the Services (for example, basic security and reliability logging).

3) Purposes of processing

  • Provide and operate the Services, including authentication and account management.
  • Process Customer Content to generate requested analysis and outputs.
  • Maintain security, prevent abuse, and troubleshoot issues.
  • Provide customer support and respond to inquiries.
  • Manage subscriptions, payments, and compliance obligations (tax/accounting).
  • Improve and develop the Services.

5) Retention

We retain personal data only as long as necessary for the purposes described in our Privacy Policy and this page. Typical retention depends on:

  • Whether your account remains active.
  • Your Organization’s settings for Customer Content (for processor data).
  • Legal obligations (for example, billing and tax recordkeeping).
  • Security and incident response needs (limited retention of logs, where applicable).

6) Subprocessors and sharing

We may share personal data with trusted service providers ("subprocessors") that help us operate the Services (for example, hosting, authentication, payments, email delivery, and monitoring). Subprocessors process data under our instructions and only for the purposes described in our Privacy Policy.

7) International transfers

Your data may be processed in countries outside the EEA/UK/Switzerland (for example, the United States) where we or our providers operate. Where required, we use appropriate safeguards for cross-border transfers, such as Standard Contractual Clauses (SCCs) or other lawful transfer mechanisms.

8) Security

We use appropriate technical and organizational measures designed to protect personal data, including access controls, encryption in transit where applicable, and least-privilege practices. No system is completely secure.

9) Your rights

Subject to applicable law, you may have the following rights:

  • Right to access your personal data.
  • Right to rectification (correct inaccurate or incomplete data).
  • Right to erasure (delete your personal data) in certain circumstances.
  • Right to restriction of processing in certain circumstances.
  • Right to data portability (for data you provided, where applicable).
  • Right to object to processing based on legitimate interests.
  • Right to withdraw consent at any time (where processing is based on consent).

If your request relates to candidate data uploaded by an Organization, you may need to contact that Organization.

10) Complaints

If you are located in the EEA/UK/Switzerland, you have the right to lodge a complaint with your local data protection supervisory authority if you believe our processing violates applicable law.
